Procedure

  1. Ex-Change receives an application/request from the South directly from a company/organization or through our local representative. The applicant fills out a standard form which is then sent to Ex-Change via the local representative.
  2. The application is then selected on the basis of criteria determined by Ex-Change.
  3. If the application is accepted, the country en sector coordinators start looking for the appropriate expert. If it is possible, we offer more than one experts to the applicant in order to him to make the last decision.
  4. The expert is asked to draw up a preliminary plan with the applicant for the duration of the project on location. In the meantime, the project coordinator prepares all practical matters: flight tickets, visa (if necessary), insurance policies, documents, etc.
  5. The country coordinator organizes a briefing session with the expert, sector coordinator and project coordinator. At this briefing, the expert gets more explanation of the technical aspects and context of the project and relevant documents are signed.
  6. During the course of the assignment, the applicant is responsible for the accommodation, meals and local transport. The local representative is the first contact person for the expert.
  7. Within a month after returning, the expert will draw up a report that will be discussed during a debriefing session. Any further steps, such as follow-up by e-mail, follow-up projects, etc. will be also decided.
